Administrative Assistant / Secretary, Legal Department

Solid assistance to all parts of our global business
Our Group’s legal function provides legal support to business colleagues in many different functions and geographies within a wide array of legal fields. You will be the 'glue' of the function, proactively ensuring structure, documentation and overview, while supporting the legal agenda for the Group. Together with other members of the legal team you will be involved in the ongoing task of ensuring compliance and legal support to a publicly listed company with operations globally. You are a good communicator with a constant eye for detail and you like to be the point of contact for many colleagues. You will add value by continuously looking for ways to optimize the way the department organizes its administrative and other tasks and processes. Your main tasks include:

  • Participation in various compliance tasks, including development of procedures and maintenance of records
  • Participation in the department’s ongoing and ad hoc projects, e.g. in connection with M&A.
  • Preparation of various documents, including corporate documents and contracts, based on templates
  • Management of system for recording of insiders and of other corporate systems
  • Reporting to public corporate registries in Denmark
  • Super user of our case management system and corporate records system
  • Correspondence with colleagues around the world and occasional translations English/Danish
  • Electronic and physical storage of contracts and other documents
  • Proofreading
  • Ad hoc administrative tasks

You will be working at our head office in Søborg, Denmark, reporting to the Senior Vice President, Legal & Public Affairs. The position is full-time or part-time (at least 30 hours).

3-5 years of experience, as Assistant or Coordinator in a corporate setting
We are looking for a talented colleague with a solid and preferably broad experience, preferably in a corporate setting and/or a law firm. You have worked in an international environment, and have excellent skills in professional written and spoken English and Danish; maybe you have a language education, such as BA in Business Language.  You have a good understanding of legal thinking and deliver final products in a high quality, both in terms of language and layout. You are well organized by nature and a strong ‘finisher’. IT is a natural part of your everyday life, and you are a skilled user of Microsoft Words and preferably also PowerPoint and Excel.

You are service-minded and can commit yourself to a busy day with a variety of tasks and with several points of contact in the department as well as outside. As a person, you like working together with a team of committed colleagues, while you also master working independently and can prioritize your tasks. You like to take the initiative and to be given the responsibility.

About the department
You will join the dedicated Legal, Public and Regulatory Affairs department in the Group’s head office. The department’s legal team counts 4 lawyers supported by administrative staff and by a legal team in the US. We are busy and continue to have exciting and important tasks ahead of us. The legal function is involved in the world-wide business of Scandinavian Tobacco Group which is focused on cigars and pipe tobacco and includes subsidiaries in approx. 20 countries and export sales to more than 100 countries.
